Getting started

RoomStack comes with a starter property called "My Home" already set up, with five common rooms ready to fill — no setup required. Rename it, add or remove rooms, or leave it as-is from the welcome screen.

From there, tap the + button anywhere you see it to start adding items. There's no "right way" to organize — some people do one room at a time, others do a quick pass through the whole house first and add details later.

Tip: You can always reorganize later. Nothing about your starter setup is permanent.

Adding your first item

Tap the + button from Home, Items, or any room. RoomStack opens your camera first — snap a photo and the item is already half-saved.

You only need a name or a photo to save — never both. That's what makes it possible to fly through a whole room in a few minutes.

Everything else — value, category, brand, serial number — is optional and can be filled in later from the item's detail screen.

Tip: Use "Save & add another" to keep capturing without leaving the room you're in.

Understanding Value & totals

The Value field is what an item would cost to replace today — not necessarily what you originally paid. That's the number insurers usually want.

Your Home dashboard adds up every item's value (× quantity) into one total, broken down by property or by category. Items you haven't priced yet are tallied separately under "No value yet" so they never silently throw off your total — tap that number anytime to jump straight to pricing them.

Changing your currency in Settings only changes the symbol shown — it never recalculates or converts the numbers you've already entered.

Properties & rooms

RoomStack organizes everything in two levels: Properties (a house, a cottage, a storage unit) contain Rooms (Living Room, Garage, etc.), and every item lives in exactly one room.

You can rename, add, or delete properties and rooms anytime from the Places tab. Deleting a property or room that still has items in it will ask what to do with them first — move them somewhere else, or delete them along with the container. Nothing is ever silently lost.

The free plan includes up to 2 properties, each with unlimited rooms. RoomStack Pro removes the cap so you can add as many properties as you like.

Finding things: search, sort & filter

Every list — Places, the rooms inside a property, Items, and the items inside a room — has a search box with two buttons beside it.

Search matches as you type. On item lists it looks at names, brands, models, serial numbers, and notes, so a serial number you only half-remember is often enough to find something.

The arrows button sorts. Items can be ordered by recently added, by value, or by name; properties and rooms by name or by value. Your choice sticks — it stays put as you move around the app, and it's still there the next time you open RoomStack.

The lines button filters. On item lists you can narrow by category, by property or room, or show only the items you haven't priced yet. On Places you can filter by property type or room type. Tap the button again to change or clear it.

Tip: a filled-in button means that tool is currently doing something. Sort and filter work together, and search narrows whatever they've already produced.

Appearance & display

RoomStack follows your device's Light/Dark setting out of the box. If you'd rather pin it one way, go to Settings → Appearance and choose Light or Dark. Automatic hands the choice back to iOS.

The Items tab can show your things as a photo grid or as a compact list — use the two buttons at the top right of that tab to switch. RoomStack remembers which you prefer.

Both of these are per-device preferences. They aren't part of your inventory, so they don't sync between devices and they aren't included in a backup file.

Locking RoomStack with Face ID

A photographic list of everything you own is worth keeping to yourself. Settings → Security → Require Face ID puts a lock on the app: it asks for Face ID (or Touch ID, depending on your device) whenever you open RoomStack, and hides your inventory in the app switcher.

It's free, and it's off until you turn it on. RoomStack asks you to authenticate once when you switch it on, so a lock can never be set up by someone who can't open it.

Your device passcode always works as a fallback. If Face ID doesn't recognize you — bad light, sunglasses, a new haircut — tap through to the passcode and you're in. You cannot be locked out of your own inventory.

Switching apps for a moment won't make you unlock again. There's a short grace period, so using the camera, the photo picker, or the share sheet doesn't interrupt you mid-capture.

If the toggle is greyed out, the device has no Face ID, Touch ID, or passcode set up yet — add one in the iOS Settings app first.

Deleting items

Open an item and tap the ⋯ menu in the top-right, then Delete. You'll be asked to confirm before anything is removed.

Changed your mind? Right after deleting, tap Undo in the banner at the bottom of the screen — the item, including all of its photos and details, comes right back.

Deleting rooms

Open a room, tap the ⋯ menu in the top-right, and choose Delete.

If the room still has items, RoomStack asks what to do with them first: move them all to another room, or delete them along with the room. Nothing is ever lost silently.

Right after deleting, an Undo banner appears at the bottom of the screen so you can bring the room — and everything in it — straight back.

Deleting properties

Open a property from the Places tab, tap the ⋯ menu, and choose Delete.

If the property still contains rooms and items, you can move its rooms to another property — keeping them together — or delete the property and everything inside it. Deleting your only remaining property is called out clearly, since it leaves nowhere to file items until you add a new one.

As with items and rooms, an Undo banner appears right after so you can reverse the deletion.

Backing up & restoring manually

A manual backup is a single file holding your entire inventory — every property, room, and item, with all photos and values. It's free (no Pro needed) and it's the copy you can keep anywhere, safe from anything that happens to your phone.

To back up:
1. Go to Settings → Export a backup file.
2. Tap "Create backup file."
3. Choose where to save it — Files, iCloud Drive, Mail, or AirDrop to another device.
4. Keep a copy somewhere outside your home.

To restore:
1. Go to Settings → Restore from backup.
2. Tap "Choose backup file" and pick a backup you saved earlier.
3. Confirm. Restoring replaces everything currently in RoomStack on this device — ideal for a new phone or a reinstall.

Tip: because restoring replaces what's on the device, export a fresh backup of anything you want to keep before restoring an older one. And back up again whenever you've added a lot of items, so your saved copy stays current.

Backing up with iCloud

iCloud backup & sync is part of RoomStack Pro. Turn it on in Settings to keep a copy of your entire inventory in your own personal iCloud account — encrypted, visible only to you, and kept in sync across every device signed into your Apple ID. We never see this copy; there's no server on our end at all.

If you're not signed into iCloud on your device, this toggle won't do anything until you sign in from your device's system Settings.

You don't need Pro to keep your data safe: exporting a backup file is free. Go to Settings → Export a backup file anytime and save it somewhere else — Files, email, a cloud drive of your choice — then restore it later from Settings → Restore from backup. An inventory that only exists on the device it's protecting isn't much use after a fire or theft.

Generating and exporting a report

RoomStack Pro unlocks PDF and CSV reports. Tap the share icon on Home, or on any property or room, to choose what to include — your whole inventory, one property, or one room — and pick a format.

The PDF report includes a summary page (totals by category and room) followed by one page per item with its photo, value, and details — the document most insurers ask for. The CSV file is the same data in spreadsheet form, useful for adjusters or your own records.

Tip: Once you've generated a report, save a copy somewhere outside your home — the whole point of an inventory is that it survives what your belongings might not.

Camera or photo access isn't working

If RoomStack can't open your camera, it's almost always because camera access was turned off — either you tapped "Don't Allow" once, or it was turned off in system Settings. RoomStack will show a prompt with a direct link to fix this in Settings → RoomStack → Camera.

You can still add items without the camera — choosing "Enter manually" lets you save an item with just a name, and you can add a photo later once access is restored.

Choosing a photo from your library never needs a separate permission — RoomStack only ever sees the exact photos you pick, nothing else in your library.

RoomStack Pro — what's included

RoomStack Pro is a one-time purchase — not a subscription. It never renews and never expires. It unlocks:

  • Unlimited items (the free version is capped at 25)
  • Unlimited properties (the free version includes 2)
  • iCloud backup & sync across all your devices
  • PDF reports with photos, ready to hand to an insurer
  • CSV exports for spreadsheets

Everything else in RoomStack — rooms, photos, value totals, search, and free backup files — stays free, with no cap on rooms or photos. The free plan includes up to 2 properties and 25 items; Pro removes both limits. You can export and restore a backup file anytime without Pro.

If you reinstall RoomStack or set it up on a new device, tap Settings → Restore purchases to unlock Pro again at no extra cost, using the same Apple ID you originally purchased with.
